Time Critical Operations Coordinator (Day Shift)

Job Overview

We are seeking an experienced Express / Time Critical Operations Coordinator to manage urgent, time-sensitive shipments, including AOG (Aircraft on Ground), NFO (Next Flight Out), and express cargo movements. The successful candidate will be responsible for coordinating shipments from collection through to final delivery, ensuring operational efficiency, customs compliance, and timely communication with customers, carriers, and other stakeholders.

Work Schedule: 4 days on / 4 days off

Key Responsibilities

• Manage end-to-end express and time-critical shipment operations, ensuring urgent deliveries meet customer deadlines.
• Coordinate AOG, NFO, and express shipments, including time-critical collections, bookings, routing, and delivery arrangements.
• Handle import and export customs entries and ensure compliance with applicable HMRC customs procedures and requirements.
• Liaise with airlines, freight partners, customs agents, transport providers, and customers to coordinate shipment movements.
• Monitor shipment progress, proactively resolve operational issues, and provide timely updates to customers.
• Ensure accurate preparation and processing of shipping documentation and customs declarations.
• Maintain shipment records and operational data using Excel, CRM platforms, and freight management systems.
• Coordinate with internal teams and external partners to ensure smooth execution of urgent shipments.
• Identify potential delays or risks and implement appropriate contingency arrangements.
• Ensure all operational activities comply with company procedures, customer requirements, and applicable customs regulations.

Requirements

• Proven experience in express freight, time-critical logistics, or urgent shipment operations.
• Strong hands-on experience managing AOG, NFO, and express shipments.
• Good working knowledge of HMRC customs procedures and UK import/export requirements.
• Practical experience with import and export customs entries.
• Demonstrated ability to manage urgent shipments independently from booking to final delivery.
• Strong organizational, problem-solving, and communication skills.
• Proficiency in Microsoft Excel and CRM systems.
• Experience with Box Top or similar freight management software is highly desirable.
• Ability to work effectively under pressure and manage competing priorities.
